Once you have created all the required entitlement policies, you have to indicate which of these policies should be the company default and for which dates it should be active as the default policy.

Company-Wide Effective Dates

You can assign a policy as the default company policy for all employees, unless they are specifically assigned to another policy. You can set / edit the company-wide effective dates of entitlement policies by going to Settings > Leave and clicking View next to the name of the relevant leave type.

System Entitlement Policies

A system entitlement policy will automatically be created for each of the system leave types; this System Policy is based on legislation governing that type of leave. By default, the System Policy will be effective from an employee’s appointment date – indicated by a “-” under the Effective From date. Similarly, by default, the System Policy will be effective indefinitely (until an employee’s last day of service) – indicated by a “-” under the Effective Until date.

Therefore, unless you edit the effective dates of the system entitlement policy or add an entitlement policy range, the System Policy for a particular leave type will be effective for all employees – from their appointment date until their last day of service.

Please note: it is not advisable to edit the effective dates of System Policies because they were designed to ensure legislative compliance.

However, you can edit the effective dates of the System Policy under Active Entitlement Policies (company defaults). Click Edit next to it and completing the Effective From and Effective Until fields with the applicable dates. You could also leave one of the fields blank if it is not applicable. For example, you could enter an Effective From date but leave the Effective Until field blank. Then, the System Policy will be effective indefinitely from the Effective From date.

If you want your employees to have a default entitlement of 0 days for a particular leave type, you should create a custom entitlement policy (discussed below) of 0 days and make that policy effective from appointment date to last day of service – by making / leaving the Effective From and Effective Until fields blank.

Custom Entitlement Policies

As mentioned above, if you do not want the System Policy (available only for system leave types) to apply to any / all of your employees, you can create custom entitlement policies and make them applicable to some / all of your employees. Please see the page linked to above for more information.

Additionally, for any custom leave type that you add, you will have to create a custom entitlement policy because there are no system entitlement policies for custom leave types.

Once all the required custom entitlement policies have been created for a particular leave type, you also have to decide on and set the applicable entitlement policy ranges / effective dates. This can be done by going to Settings > Leave and clicking on View next to the name of the leave type.

  • If a custom entitlement policy applies to all / most of your employees, you should indicate this under Active Entitlement Policies (company defaults).
      • You should set the company-wide effective dates of the custom entitlement policy to be from appointment date to last day of service by making / leaving the Effective From and Effective Until fields blank.
    • Then, the employee-specific effective dates of the System Policy (in the case of a system leave type) or the 0 day policy (in the case of a custom leave type) should be set to the relevant dates as discussed below.
  • If a custom entitlement policy applies to only a few of your employees:
      • Under Active Entitlement Policies (company defaults), you should set the company-wide effective dates of the System Policy (in the case of a system leave type) or the 0 day policy (in the case of a custom leave type) to be from appointment date to last day of service by making / leaving the Effective From and Effective Until fields blank.
    • Then, the employee-specific effective dates of the custom entitlement policy should be set to the relevant dates as discussed below.

Employee-Specific Effective Dates

As explained above, in cases where the same entitlement policies do not apply to all employees in your company, you might need to make certain other entitlement policies effective for individual employees.

This can be done by going to the particular employee’s profile, clicking on Leave > Entitlement Policies.
