New Feature: Approver Override

We’re all about helping your business be more efficient, which is why we have a mobile app and self-service portal that allows employees to log their own requests for leave, info updates and claims. But what happens when the approver for that request is on leave? Does the request hang in limbo, bringing your payroll processing to a grinding halt? Now it doesn’t have to. Introducing our new approver override function for Full Admin users.

Full Admin users now have the option to step in and make decisions on pending requests that they are not an approver on. The Full Admin’s approval temporarily overrides the need for it to be approved by the approvers in the approval group – in other words, it bypasses the whole approval structure and the Full Admin user’s decision is taken as final.

Password Protected Payslips Are Here!

Gone are the days of employees only being able to receive printed versions of their payslips. Accessing payslips is easier than ever before with our mobile app and self-service portal, and companies have the option of attaching payslips to the emails that are sent to employees when payslips are released to self-service.

We’ve recently seen an increase in requests for password protecting the payslips that are sent via email. Although an employee’s email inbox should be protected with a secure password, we understand that problems can arise where an incorrect email address is entered for an employee, or if an employee leaves their email inbox open and unattended. We took your concerns to heart and are delighted to announce that this feature is now available.

To enable passwords for payslips:

  • Go to Employees > Self-Service > Settings > General
  • Ensure that the checkbox for Attach payslips to emails on Self-Service release is selected
  • Select the Enable password protection for attached payslips (using employee identity numbers or birthdates checkbox
  • Click Save

All payslips sent via email will now be password protected. The password used will be the employee’s identity (ID) number, or where no ID number is available, their date of birth.

Please note that the password is based on the information available at the time of the email being sent. Therefore, changes to an employee’s ID number or date of birth will only impact payslips sent via email after the change and not historic ones.

Self-Service Employee Claim Requests

We love innovating to make payroll simpler and our new self-service employee claims feature does just that.

Our employee self-service option was built to ease the administration burden that comes with payroll:

  • Employees can access historic payslips and tax certificates at any time without having to ask you to send it to them. 
  • Leave requests allow employees to request leave and upload supporting documentation (such as medical certificates), saving you the hassle of having to remember to record leave or follow up with employees for their supporting documentation.
  • Info update requests allow employees to request changes to their basic information, ensuring that you have up-to-date and accurate information for employees.

Our new feature expands self-service to allow employees to submit inputs for the following payslip items:

  • Expense claims
  • Travel allowance
  • Custom items, with the Input Type as “Once-off for specified payslips”, “Different on every payslip”, “Hourly rate * factor * hours” and “Custom rate * quantity”

Employees can enter the amounts that they wish to claim and upload supporting documentation. An approver simply needs to approve the request. It will then be added to the employee’s next draft payslip without the payroll administrator needing to capture any of these payslip amounts. In addition to saving the payroll administrator processing time, it also takes the hassle out of verifying claims, since a separate approver (such as a direct line manager) can be set up for this purpose.

New Self-Service Features

We have been working on expanding our self-service functionality recently and are pleased to announce that we have added two new features. These changes allow you to disable different types of self-service requests (i.e. leave and / or info update requests). You’re now also able to hide leave balances for all or some of your leave types.

You can make these setup changes by navigating to Employees > Self-Service > Settings and then selecting either General or Leave from the drop-down menu.

To disable self-service request types, select General from the menu and select whichever types of requests you would like to disable for self-service. Once you’ve done this, self-service users won’t be able to submit any new requests for the type you disabled.

To hide leave balances, select Leave from the menu and uncheck the leave types for which you would like to hide the balances. After you’ve done this, self-service users won’t be able to see their leave balances for the specific leave type, but will still be able to submit requests.

Tax Certificates Now Available via Employee Self-Service

At SimplePay we strive to create value for you by meeting your payroll needs in a simple and easy manner. With that in mind, we are thrilled to announce the launch of a new feature to make the tax year-end even easier for you – employees can now view their tax certificates via the self-service function.

This means that you can release IRP5s/IT3(a)s to your employees at the end of the tax year at the click of a button. Employees will be informed via email that their tax certificates are available on their employee self-service. You can also attach a PDF of their tax certificate in this email. Please note: you can only release final year-end IRP5s/IT3(a)s to employees i.e. interim IRP5s/IT3(a)s for the first 6 months of the tax year cannot be released to employees.

Add Supporting Documents to Self-Service Leave Requests

You asked and we delivered! We have expanded the self-service functionality so that employees can add documents when they request leave. Now employees can attach doctor’s certificates, birth and death certificates, or any other supporting documents to leave requests with ease.

Leave Calendar Updates

Just in time for the festive season, we are super excited to present to you our updated leave calendar.

This new calendar is more than just a pretty face; it sports a number of new features to make leave recording simpler and more accurate.

Do you need to record a partial day of annual leave as well as one of compassionate leave for the same employee on the same day? Just select the day(s) in question and  the type of leave, tick the box for partial day and put it into the system. Repeat this as many times as needed.
