New Feature: Individual UI 19 Forms

Update 21 April: The Department of Employment and Labour has opened a dedicated UIF toll free hotline, running 8am – 10pm Monday to Friday. The number is 0800 030 007.

In an effort to continue to simplify the world of payroll and employment, during this COVID-19 crisis and beyond, we have added individual UI 19 PDFs to the system.

These forms need to be submitted by employees when claiming their UIF benefits and can be downloaded for each employee once you have ended their service.

Before ending the employee’s service and downloading the form though, you will need to complete some additional information on the Employer Filing Details page.

Additionally, if you are ending an employee’s service using codes 9, 10 or 17, please also immediately capture a reinstatement date (the date you expect them to resume work) in order to ensure all required dates are populated.

    i AM CONFUSED WITH THE ABOVE. MY REASON IS THAT SIMPLE PAY STATES THAT THE UI-19 SHOULD BE HANDED TO THE EMPLOYEE TO CLAIM UIF BENEFITS ( FOR CODE 17). THE DEPARTMENT OF LABOUR HAS STRESSED THAT THIS IS THE FUNCTION OF THE EMPLOYER TO ELEVIATE THE WORK LOAD AND OVER CROWDING AT THEIR OFFICES IF EACH EMPLOYEE HAS TO SUBMIT THE CLAIMS THEMSELVES. KINDLY ADVISE

      Thank you for your message. To clarify, in transferring the documents to your employee this enables them to apply via the u-filing site, or by emailing to relevant UIF processing centre. Equally, the employer can email the centre with the completed documentation attached. All of this information can be found in our blog post here.

      Thanks for the reply and suggestion. We are currently working on generating the UI 2.7 form, which I believe is the schedule you’re referring to? We’ll post an update as soon as that’s ready. If it’s another form that you’re talking about, please could you send an email to [email protected] with the details so we can get it logged and into development if necessary.

  3. Is there any way that Simplepay can add the ‘Skills & Equity’ Information on the initial basic employee information screen? I find a lot of people don’t know that the option is there and then don’t complete it.

  4. Please advise on the availability of the UI 2.7 form from Simple Pay – has this feature been implemented yet?

    1. Hi Nicole, this is still in development. We will send out a notification when this is available.

  5. Please advise on the Individual UI-19, if the employee is retrenched their is a severance pay that is paid out the employee.

    If the employee earned R6,500 each month and now they are retrenched – the individual UI-19 is displaying the gross monthly income for that month as the basic salary plus the severance pay – is this correct for a UIF claim? Should it not be the gross monthly salary only and not inclusive of the severance amount?

  6. Good day – Please is it possible that somebody could help me to complete all the forms for the 21 lockdown period. I am unsure which steps I must follow to complete all the forms. According to the new message posted yesterday, the most of the forms are filled from Simple Pay’s side. Thanks for the extra help. Marinda

    At Step 6 : Compile evidence of your payroll “This can be payslips of each individual employee, EMP201’s or UI 7’s for the past three months. Where can I get the UI 7 form?

    Can you also make a CSV file available which states the Employer’s Banking details or should we just convert the Excell file received ?

    Just want to clarify please. After ending service with code 17 and immediately adding a reinstatement date of 1 July, the system no longer shows inactive employees. Is this correct and will it still reflect as a termination for the sake of the process?

    Also, if the employee is using someone else’s banking account for their weekly wage, they may not be able to supply the ui2.8. Would an affidavit (by the employee) about the situation suffice without the ui2.8? I appreciate that this may not be something you can assist me with, I just don’t seem to be getting a response from DOL.

    1. Hi John. Sorry for the delay in responding to you. The COVID-19 pandemic caused an influx of queries for us and we had to prioritize support via phone and email. Regarding your query, unfortunately we are unable to assist here as we only provide the software for payroll, but are in no way affiliated with the Department of Labour and therefore cannot process UIF claims. We hope that you managed to sort it all out.
